Why do we have a privacy policy?

We commit to following all principles and guidelines outlined by the General Data Protection Regulation (GDPR) effective May 25th 2018, which is designed to protect individuals and their personal data. Under GDPR we must comply with certain regulations which are designed to ensure that any data you provide to us is processed with due care and attention and is, collected only to enable the recruitment process.

What sort of data do we collect? How will be use it?

Protocol Talent Partners collects personal data about you to help in the recruitment process. This data consists of information such as your name, address, e-mail address, work and education history plus your nationality, which we are required to collect by law. We also collect information in the aggregate to provide us with a better understanding of the users of our website, but which does not contain personally identifiable information. The personal data and sensitive personal data will be stored, processed, used and disclosed by us in the following ways:

  • Provide our recruitment services to you, whether you are a client, candidate or a user of our website

  • Enable you to submit your CV, to apply for specific jobs or update your employment preferences

  • To maintain our business relationship, where you are a user of our website, a client or candidate

  • Provide information on suitable job opportunities to people who register with us, to match your profile with suitable job vacancies and to assist us in finding a position that is most suitable for you

  • Answer your query

  • To fulfil contractual obligations with our clients

Where we have your consent, we will also use your information to:

  • Send your personal information to clients in order to apply for jobs

  • Market products and services directly to your personal email address

We process data using secure cloud applications to enable your information be accessed internationally for the purposes of analytics, development and testing and to provide recruitment services where you have expressed an interest in a location outside that in which you are resident. If we need to transfer your data outside the EEA, we will alert you and explain clearly why we’re doing it. This will only occur in relation to recruitment or related services provided by Protocol Talent Partners.

How your data will be collected?

Protocol Talent Partners collects personal data directly from you in various methods. Engaging with us personally candidate registrations, supplying a CV, application letters, email or use of the web. Subscribing to email updates, psychometric assessments. We would also engage with third parties including professional references, academic qualification confirmation, information from or about you in relation to workplace complaints, accidents as well as in any inquiries around insurance, litigation, registration, disciplinary, criminal etc. If collecting information from a 3rd party we will seek your consent or otherwise make you aware of the collection and the reasons for it.

Other Sources of Data

We may also process information about you where it is available from public sources. For example, if you have a professional profile online (i.e. LinkedIn) we may combine that type of information with the information you provide directly to us.

By sending us your CV you are indicating your consent for Protocol Talent Partners to process your personal details in the manner outlined above.

Subject Access Request

You have the right to request a copy of the information we hold for you on our systems. In order to receive this information, we will need verification of your identity. Please note that we will not provide the following types of information in response to a data access request: Information about other people; Opinions given in confidence, other types of information may also be exempt under data protection laws (e.g. data relating to the commission of offences).

How long will you hold my information for?

We are required by law to hold your information for as long as is necessary to comply with our statutory and contractual obligations and in accordance with our legitimate interests as a data controller, we normally retain data on our database for a period of 7 years. This is to allow us to provide you with a quality ongoing recruitment service. However, you can request removal of your data at any time.


We will use reasonable endeavours to ensure that your Personal Data is maintained and up to date. However, you are under a duty to inform us of any and all changes to your Personal Data to ensure that it is up to date and we will update or delete your Personal Data accordingly.

Do we pass data to third parties?

Where necessary we may pass data to prospective or intended employers or customers for the purpose of recruitment. This data may be transferred outside of the European Union. We may also share aggregate information with selected third parties but we do not disclose individual names or any identifying information.

What if I do not agree with this Privacy Policy?

If you do not agree to our processing of your data in the manner outlined in the Policy, please do not submit any personal data to us.
